Basic recognition concerning personal information protection

MGL recognizes that the proper protection of personal information is a social responsibility, and declares that all of the officers and employees handling the personal information held by MGL shall comply with the following Personal Information Protection Guidelines to handle personal information appropriately and safely, and shall work to protect the personal information thoroughly.

Personal Information Protection Guidelines

• Compliance with laws and regulations

  When handling personal information (meaning the personal information defined in the Act on the Protection of Personal Information, Article 2, Paragraph 1; the same applies below) , MGL shall comply with the laws and regulations and other rules which are applicable to protection of the said personal information.

• Formulation and continuous improvement of compliance rules

  MGL shall make all of the officers and employees handling the personal information held by the company recognize the importance of personal information protection, and shall build and implement a compliance program for the appropriate handling and protection of personal information.
  Furthermore, MGL shall regularly review the compliance program as part of our efforts for continuous improvement.

• Safety measures

  • Ensure the accuracy and safety of personal information

    In order to ensure the accuracy and safety of personal information, MGL shall implement a full range of safety measures and work for the prevention and correction of illegal access to personal information, as well as loss, destruction, falsification and leakage of personal information.
    MGL shall work to implement the following kinds of measures appropriately in order to manage personal information safely.

    • In areas where critical information systems such as the servers and main computer handling the personal information database are managed, MGL shall implement room entry and exit management and restrict the devices and electronic media, etc. which can be brought into said areas.
    • In areas where administration which involves handling personal data is implemented, MGL shall prevent the browsing, etc. of personal data by people without authority by implementing room entry and exit management and devising the best possible seating layout, etc.
    • As necessary, MGL shall store documents in which personal data is stated under lock and key in stipulated places such as lockers and safes, etc.
    • MGL shall restrict access to personal data recorded in computer systems and transported personal data to persons who are able to access it with a personal ID and password, etc. and in addition shall take measures to prevent information leakage with encryption, and other techniques, in accordance with the degree of importance of the information.
    • MGL shall take security measures for information systems and devices and protect personal data from illegal external access and from illegal software.
    • As a general rule, MGL shall not copy personal data, and in the case that the copying of personal data is deemed to be necessary on unavoidable grounds, MGL shall copy the personal data only after receiving the approval of the personal information protection officer.

  • Fair acquisition methods, clarification of utilization purpose, and handling scope for personal information

    MGL shall implement the acquisition of personal information using lawful and fair means, clarify to individuals its utilization purpose, and handle the acquired personal information appropriately within the scope necessary for achievement of the utilization purpose.
    Furthermore, in the case that MGL gathers personal information through customers for the purpose of carrying out logistics services, it shall also handle that information appropriately within the scope of the utilization purpose.

• Handling of personal information

  MGL shall utilize all or some of the personal information provided to the company for the following purposes.

  • Utilization purposes of personal information

    • To provide services, etc. for which the customer registered or applied
      (Including notifications and greetings required by social convention, and making contact with the relevant people necessary for provision of the service.)
    • To report results, etc. to people who cooperated with or participated in questionnaires and events, etc.
    • To utilize direct mail, email distribution, fax transmission, etc. to provide services
    • To judge and notify whether or not job applicants will be hired
    • To provide services related to the business of MGL to customers in a beneficial and appropriate manner.
    • To implement other operations related or auxiliary to the above operations

  • Provision of personal information

    MGL will not disclose or provide to any third party the personal information provided by a customer unless the company has received the consent of the customer or the disclosure or provision is based on laws or regulations.

  • Entrustment of personal information

    MGL may sometimes entrust the personal information of a customer to a subcontractor of MGL in order to achieve the utilization purposes in (1) above.
    In the case that MGL entrusts the personal information of a customer to a subcontractor of MGL, MGL shall select an appropriate subcontractor, and shall supervise the subcontractor appropriately to ensure that the personal information is managed safely by the subcontractor, for example, by clarifying the obligations and responsibilities of the subcontractor in the contract.

  • Joint utilization of personal information

    As necessary, MGL may sometimes jointly utilize personal information received from a customer, as follows.
    Jointly utilized items of information: company name, affiliation, job title, full name, address, telephone number, email address
    Scope of joint utilization: MGL Group companies (this refers to the parent company, subsidiaries and affiliated companies of MGL, and has the meaning defined in the Regulation on Terminology, Forms, and Preparation Methods of Financial Statements, Article 8)
    Utilization purpose of the joint utilizer: to provide services related to the MGL business to customers beneficially and appropriately

  • Handling of personal information arising from links to outside parties

    Sometimes the website operated by MGL may contain links to outside parties. MGL does not bear responsibility for the handling and management of personal information in external sites or the content posted on those sites. Please inquire directly to the linked sites.

  • About the use of cookies

    The MGL website uses some cookies in order to provide optimal services to the customer. Information which can identify personal information is never obtained from these cookies.

  • About the acquisition of the access history

    The MGL website may acquire the access history for the purpose of obtaining statistics about and analyzing the status of site utilization by the customers. MGL will never obtain information which can identify personal information through the acquisition of the access history.

  • About measures to prevent interception of personal information by third parties

    The MGL website works to ensure the safety of personal information with encryption of the personal information using SSL (Secure Sockets Layer), or with security equivalent to that, in order to ensure that third parties do not intercept personal information provided by a customer during its transmission.

  • About the handling of personal information for each service and business

    In some cases MGL may separately stipulate matters regarding the handling of personal information, such as the utilization purpose of the personal information for each product, service and business, the provision of the personal information to third parties, where to make inquiries, etc.
    In that case, when there are provisions different from “About the handling of personal information” or special provisions, matters concerning the handling of personal information stipulated for each service and business shall be applied with priority.

• Management system

  MGL shall appoint a personal information protection officer within the company, and establish a management system for the proper handling and protection of personal information.

• About disclosure, correction and utilization cease, etc. of the content registered by the customer

  In the case that there has been a request from a customer for disclosure, correction, utilization cease, deletion, ceasing of disclosure or provision to a third party, etc. of personal information concerning the customer him/herself, MGL shall confirm the identity of the customer and then respond to the request promptly, unless there is a special reason not to do so.
